Couriering documents from Dhaka to Europe: cost, time and rules

First: does anything need to be posted?

Applications to the nine countries we work with have moved almost entirely online. Italy runs through Universitaly, Sweden through the national admissions service, Finland through Studyinfo, and Hungary and Bulgaria commonly through DreamApply. Each of those takes uploads. Sending a courier envelope nobody asked for wastes several thousand taka and achieves nothing.

The two rules that catch people

Some universities will not accept documents from you. Nordic universities in particular frequently require official transcripts sent directly by the issuing institution in a sealed envelope. If that is the rule, a beautiful DHL package posted by you is not a valid submission, and the university will say so after the deadline rather than before it. Arranging institutional dispatch takes weeks, so read that requirement early.

A paper deadline means arrival. Almost every European admissions deadline is the date the documents must be received, not posted. Add the transit time, then add a working week of margin for customs and internal mail inside a large university. A package that reaches the postroom on the deadline and the admissions office three days later is late.

Prices depend on weight, destination and the day, so treat these as a planning range and get a counter quote. For anything with a deadline attached, express is the only sensible choice — the difference in price is smaller than the cost of missing an intake.

⚠️ Never courier your only original

Documents are lost. Rarely, but they are, and an original SSC certificate is not reissued over a weekend.

  • Send attested copies where the university accepts them, and keep the originals.
  • Where an original must travel, scan every page first, front and back, including the attestation stamps.
  • Keep the attestation chain intact — the attestation guide explains what you are risking, because a lost attested certificate means redoing four offices, not one.

Filling in the paperwork correctly

  1. 1Declare it as documents with no commercial value. They are not merchandise; a declared value of a few dollars is normal. Overstating the value invites a customs charge at the other end, payable by the recipient, and a university will not pay it.
  2. 2Put the reference inside as well as outside. Your application or student number, the programme name and your full name should appear on a covering sheet inside the envelope. Envelopes get opened and separated from their contents in a mailroom.
  3. 3Address it to the exact office, with the department and the postcode as the university publishes it. Not the vice-chancellor, not a general address.
  4. 4Include a covering letter listing what is enclosed, so the office can check the contents against a list rather than guessing.
  5. 5Keep the airway bill number and email it to the admissions office with the expected delivery date.

Timing it

Work backwards from the arrival deadline:

  • Arrival deadline, minus one week of margin, gives your target delivery date.
  • Minus seven working days of transit, gives your posting date for express.
  • Minus the time your documents are still inside the attestation chain, gives the date the chain must finish.

That last line is where most plans break, because attestation takes four to eight weeks and nobody counts it as part of the courier plan. The full application-year sequence is in the Europe application timeline from Bangladesh.

After it arrives

Confirm receipt in writing. Delivery to a mailroom is not receipt by an admissions office, and the gap between the two can be days. A short polite email quoting the airway bill and the delivery date, a week later, is normal and expected — and it creates a record that you sent the documents on time, which matters if anything is later mislaid.

Common questions

Do European universities still want paper documents?+

How much does a courier from Dhaka to Europe cost?+

An international express document envelope typically runs BDT 4,000 to 9,000 and arrives in three to seven working days. The postal EMS service costs roughly BDT 1,500 to 3,000 but takes two to four weeks with much weaker tracking, which makes it unsuitable for anything with a deadline.

Does the deadline mean posting or arrival?+

Should I send original certificates?+

Only when an original is genuinely required, and never as your only copy. Send attested copies where they are accepted, scan everything including the attestation stamps before it leaves your hands, and remember that replacing a lost attested certificate means going through four offices again.
