After VFS Dhaka: how long an Italy student visa really takes

The hardest part of an Italian student visa is not the paperwork. It is the silence afterwards.

You hand over the file, you get a receipt, and then nothing happens that you can see. Your intake is approaching, your university wants a decision, and every website says something different about how long it takes. This page is about that window: who has your file, what the legal deadline actually promises, why the numbers you have read are not commitments, and the small number of things that are still in your control.

Who actually has your file

Two consequences of that table are worth being blunt about. VFS is a front office, and asking it about your decision is asking the wrong organisation. And because the outcome must be recorded on the government portal at the end, the process has a formal closing step that is not visible to you at all.

What the ninety-day maximum does and does not promise

European law gives a student application a maximum of ninety days from the submission of a complete application, under the students and researchers directive, Directive (EU) 2016/801. Italy applies that framework.

Read the words carefully, because three of them do all the work.

Maximum. It is a ceiling, not a target and not an average. A decision at day eighty-nine is inside the law.

Complete. The clock is tied to a complete application. If a translation is missing, a CIMEA statement has not arrived, or the consulate asks for a document about the origin of your funds, the file is not complete, and time spent waiting for you is not time the authority is spending on you. This is the single biggest reason a family experiences a timeline that bears no relation to anything they were told.

Decision. Ninety days is a deadline for a decision. A refusal delivered on day eighty-five met the deadline.

No authority publishes a processing time for an Italian type D study visa from Dhaka. Not the embassy, not the Ministry of Foreign Affairs, not VFS. That is the whole of the published position, and this page will not quote you a number of days, because there is no number to quote. Why the figures on agency sites are not commitments

You will read that an Italian student visa takes approximately fifteen days, or three weeks, or one month. Sometimes those numbers are somebody's genuine experience. None of them is a promise, and here is why.

Italy publishes no service standard for national study visas from Dhaka. There is no target the consulate has committed to and no published average by nationality. So a specific figure on a consultancy page is either one file the office remembers, or a number chosen because it reassures.

The reality is that three things vary enormously between files and none is visible in advance: whether verification is triggered, whether anything in the file needs supplementing, and what volume the consular section is carrying in that particular part of the season. A student submitting in the quiet part of the calendar and one submitting in the wall of applications before 30 November are not in the same queue, though they read the same page.

That is also why we push families to submit early rather than to plan around a number. Early submission is the only lever that actually reduces the risk that the process outlasts your intake.

The Italian-specific pressure: the calendar, not the queue

Here is the part that is genuinely different for Italy, and it starts long before VFS.

The national deadline. Visa applications for the 2026/2027 academic year must reach the consulate by 30 November 2026, and for 2027/2028 by 31 October 2027.

Your university's own deadline, which can be earlier. Institutions are expressly allowed to publish their own dates, tied to when teaching starts, and those may fall before the national one. Planning for 30 November and missing an October cut-off set by your own university is a self-inflicted wound that no processing speed can repair.

The validation cap in front of both. From 2026/2027 a university may validate no more than its allocated international places plus a maximum of 20 percent, after which validations are suspended. Because only a validated pre-enrolment can be taken to the consulate, the real queue for your intake starts at the university, not at VFS. The cap is a turnstile rather than a locked door — a refused study visa immediately releases one further validation to that institution, and a university may request extra validations by formal academic resolution — but nobody can plan around someone else's refusal, so late pre-enrolment does not simply delay you. It can end the attempt.

Two further Italian details that affect the wait. Fingerprints have been compulsory for national visas since 11 January 2025, so a biometric appointment is a fixed part of the calendar. And the national deadlines above bind only the standard degree courses — the Laurea, the Laurea Magistrale and the academic diplomas. The Italian professional Master, the PhD, Erasmus, single courses and foundation courses have no national cut-off, and a Master in the Italian sense is not the same thing as the Laurea Magistrale most Bangladeshi students mean by a Master's.

What tracking tells you, and what it does not

A tracking reference tells you custody: received, under process, dispatched, ready for collection. That is genuinely useful and it is all it is.

It does not tell you whether an officer has opened your file, whether verification is running, whether a decision has been made but not printed, or what the outcome is. A status that has not changed in three weeks is not evidence of a problem, and a status that changes to dispatched is not evidence of approval — a refusal travels back to you the same way.

What is worth watching is your email and your phone, including the numbers you gave for your sponsor and your university. A request for a further document is time-sensitive in a way the tracker is not.

What to do, and what not to do, while you wait

Do these.

1. 1Answer a document request within days. This is the only part of the timeline you control, and the clock is tied to completeness.
2. 2Keep your sponsor reachable and briefed. If the consulate calls the person whose account funded the file, that person should recognise the question and know the answer.
3. 3Tell your university you have submitted, and ask what its latest acceptable date for a visa outcome is. Get it in writing.
4. 4Keep the funds in place. A balance that is spent down while the file is under assessment is a real risk, not a theoretical one.
5. 5Book nothing you cannot cancel. A ticket is not evidence of intent and it will not accelerate anything.

Do not do these.

1. 1Do not submit a second application elsewhere to hedge. Your passport is with the consulate, and a parallel attempt creates an inconsistency in the record rather than a backup plan.
2. 2Do not have four different people contact the embassy about one file. It does not speed anything up.
3. 3Do not send an unrequested new document set. Adding papers nobody asked for can restart checks.
4. 4Do not treat an agency's assurance that it is nearly done as information. Nobody outside the consular section knows.
5. 5Do not change the sponsor or the account mid-process unless the consulate has asked you to. It invites the origin-of-funds question all over again.

If the wait outlasts your intake

It happens, and it is not the end. Italy runs two main intakes, and a deferral to the next one is usually a conversation with the university rather than a catastrophe — but it has to be a conversation you start, not one you discover.
