Why there is no single answer

A student file is not one thing moving through one queue. It is held by whoever currently has it: an outsourced centre, an embassy, or a national immigration authority in Europe. Where you look depends on which of those has it, and that changes during the process.

The three statuses that get misread

"Under process" is not a problem. It is the default state of a file that has not been decided, and it can sit there for weeks without anything being wrong.

"Ready for collection" is not "approved". It means your passport is back at the counter. A refusal comes back the same way, in the same envelope. This is the single most misunderstood line in the whole process, and it is worth reading tracking and collecting your passport before collection day rather than after.

"Dispatched to the mission" or "sent to the embassy" is normal for a hybrid route. For Greece it is simply the courier leg to New Delhi, which is built into the route rather than a sign of a problem.

What tracking cannot tell you

It cannot tell you the decision before the decision exists. It cannot tell you the queue position. It cannot tell you whether an officer has a question, until they ask it. Students refresh trackers because it is the only lever that feels available, and the honest answer is that the lever is not connected to anything.

The thing that is connected is the file you submitted, and that is finished by the time you are tracking it.

When it is legitimate to ask

Ask when a published indicative period has clearly passed, when you have received a request for more information and answered it, or when a date you told the university about is at risk. Ask through the official channel named on the mission's page, once, in writing, with the reference number in the first line.

Do not ask weekly. Do not ask through an intermediary who charges for it. The procedure and the wording are in what to do when your visa is delayed.

The numbers you must keep

• The reference or case number from the submission receipt or the online application.
• The date you submitted, and the date you gave biometrics if they were separate.
• The email address you used, because the invitation, the request for documents and the decision notice all go there.
• A copy of the file exactly as submitted.

Photograph the receipt the moment you receive it. A lost slip of paper is a genuinely common reason a student cannot track their own application.

When the silence breaks: a request for more information

The one status that genuinely demands action is a request for a document, a clarification or an interview. It usually arrives by email, to the address on the application, and it usually carries a deadline.

Three rules make the difference between a delay and a refusal:

1. 1Answer the question asked. If they want one bank statement, send one bank statement, not a folder. A file that grows in response to a question reads as a file that was incomplete.
2. 2Answer inside the deadline, and if the document genuinely cannot be produced in time, say so in writing before the deadline rather than after it.
3. 3Answer through the channel they used. A reply sent somewhere else may never be attached to the case.

This is also the moment the email address you gave becomes critical again. A request that lands in a spam folder is indistinguishable, from the outside, from a request you ignored.

Realistic expectations, per route

Two structural points are worth repeating here: a hybrid route like Greece carries a courier leg in each direction, and a route whose decision is taken in Europe rather than at the mission adds an internal step you cannot see.

Nobody publishes a student visa success rate for these countries, and nobody can honestly quote you one. A tracker shows the state of your file, not your odds.
