What the acceptance desk is and is not doing

The person at the counter is running a completeness check against a list. Are the required documents present, are the copies legible, is the form signed, do the photographs meet the specification, is the fee correct.

They are not assessing whether your bank statement is convincing, whether your programme suits your background, or whether you will get the visa. A file accepted at the counter has cleared a clerical hurdle and nothing else — which is why students who leave the centre feeling reassured are often reading too much into it, in both directions.

If something is missing, they will usually tell you there and then. That is the best possible moment to find out, and it is one more reason to arrive with the file in the order the checklist specifies.

Biometrics and the passport

Fingerprints and a facial image are taken at the centre. It takes a few minutes. For Schengen short-stay visas fingerprints are stored in the Visa Information System and can be reused for a period of years, which is why a returning applicant is sometimes not asked again — but for a student long-stay application, assume you will give them.

Your passport stays with the centre. This unsettles people every year, and it is entirely normal: the visa sticker has to be physically placed in it. Plan for your passport to be unavailable for the whole processing period, which means no other travel, and no application anywhere else that needs the original.

⚠️ If you have an unavoidable need for the passport during that window, raise it before you submit, not after. Once the file is with the mission, retrieving a passport mid-assessment usually means withdrawing the application.

What the visa centre genuinely cannot do

This section exists because a great deal of anxiety, and a certain amount of money, is spent on the wrong target.

  • It cannot decide anything. VFS and its equivalents are contracted service providers. The decision belongs to the mission.
  • It cannot see reasons. Its staff have a status field, not a case file. When they say they do not know, that is literally true.
  • It cannot expedite. No amount of calling, visiting or escalating at the centre moves a file at the mission.
  • It cannot tell you the outcome before you collect. The status changes to indicate the passport has come back, not what is inside it.

What the centre can do is tell you whether your file was accepted, confirm the tracking reference, and pass on a request for documents. Use it for that.

The step people are least prepared for

A request for further documents is common and is not a bad sign — it usually means the officer is trying to resolve a question rather than refuse. It is also the step where students lose the most time, because the response arrives incomplete or slow.

When it comes:

  1. 1Read exactly what is asked. Send that, not a folder of everything.
  2. 2Send it in the format and channel specified, by the date given.
  3. 3Remember that the assessment clock is usually paused while the mission waits, so a slow reply lengthens the wait twice over.

The commonest requests concern money: a source for a large deposit, a sponsor's income evidence, or a clearer picture of the whole balance. Proof of funds and how embassies verify your financial documents cover what convinces.

Common questions

Does the visa centre know whether I will get the visa?+

No. It is an outsourced service provider that checks completeness, takes biometrics and couriers the file. Its staff see a status field, not the officer's assessment, and they do not know the outcome until the passport comes back sealed.

Can I get my passport back while the application is being processed?+

Generally only by withdrawing the application, because the sticker has to be placed in the passport. If you have an unavoidable travel or document need in that window, raise it before submitting rather than after.

The embassy has asked for more documents. Is that a bad sign?+

Usually not. It normally means the officer is trying to resolve a question rather than refuse outright. What matters is answering exactly what was asked, in the channel specified, quickly, because the assessment clock is commonly paused while they wait for you.

Will calling the visa centre every day speed things up?+

No, and it uses time you could spend on your enrolment plan. The centre has no influence over the mission's queue. The only calls worth making are about a document request or a tracking status that has genuinely stalled well past the published range.
