How long each European student visa takes, and why no date is promised

Start with the only number that is a rule

Almost every figure you will read about visa timing is an observation. One is law.

Directive (EU) 2016/801, the students and researchers directive, requires member states to decide on a student application and notify the applicant within 90 days of the date a complete application was submitted. It allows an extension in exceptional circumstances, and it allows the clock to pause while the authority waits for missing documents.

Two caveats matter enormously and are almost never mentioned.

  • The clock starts when the file is complete, not when you handed it in. An application missing an insurance certificate is not a slow application; it is an incomplete one, and the 90 days has not begun.
  • Denmark is not bound by the directive, because of its opt-out from this area of EU law. Denmark publishes its own case processing standards through SIRI instead, which is why you should read nyidanmark.dk rather than assume the 90 days applies.

What applicants actually report

Everything below is a commonly observed range, gathered from how these routes have behaved rather than from any commitment. Peak season, a document request, a public holiday or a mission's own backlog can move any of them.

Finland, Sweden and Denmark publish live or recent average processing times on their own sites. Those pages are worth more than this table, because they are updated and this is not.

Why nobody can give you a date

This is the part students find hardest to accept, so it is worth being blunt.

The visa centre cannot. VFS and its equivalents are outsourced service providers. They accept the file, take biometrics, and courier the papers. They do not assess anything, they cannot see the officer's notes, and their staff genuinely do not know your outcome. The consultant cannot. No agency has a channel to move a file up a queue. Anyone who names a date is guessing, and anyone who guarantees one is lying — which is the clearest single test of whether a consultancy is honest.

The embassy usually will not. Missions decline to give individual timelines precisely because a stated date becomes a commitment, and a file can go to a second-level check for reasons that have nothing to do with you.

What genuinely does move your timeline

Four things, in order of size.

  1. 1Completeness. The commonest three-week delay is a missing translation. See the document checklist.
  2. 2When you submit. June to August is the crush at every Dhaka centre. The same file lodged in April is often decided faster than one lodged in July.
  3. 3Whether the file raises a question. A large unexplained deposit or a sponsor with undocumented income generates a request for more documents, and that request pauses everything. Proof of funds covers how to avoid it.
  4. 4Where the decision is made. A file lodged in Dhaka and decided in New Delhi travels twice by courier. That is structural, not a fault.

Building a timeline that survives a slow decision

⚠️ Work backwards from the university's enrolment deadline, not from the start of teaching, and put a four-week buffer in front of it. If you are inside that buffer and still waiting:

  • Ask the university, in writing, whether it will hold your place or defer you to the next intake. Most will, and asking early is far better than asking after the deadline.
  • Do not book a non-refundable flight until the passport is back in your hand.
  • Keep every original document valid — a police clearance that expires while you wait is a new problem.

Common questions

Is the 90-day rule a guarantee I will get a decision in 90 days?+

It is a legal maximum in the EU directive, counted from the day a complete application is submitted, and it can be extended in exceptional circumstances. It is not a service promise, the clock pauses while the authority waits for missing documents, and Denmark is outside the directive altogether.

Can paying more get my application processed faster?+

No. There is no priority or premium processing for student applications at these nine missions. Lounge or courier upgrades at a visa centre buy convenience, never a place further up the decision queue.

My file has been with the embassy for six weeks. Should I be worried?+

Not on its own — six weeks is inside the normal range for most of these routes, and silence is the usual condition rather than a bad sign. What deserves action is passing the published maximum, or passing your enrolment deadline, and the first move then is to write to the university about deferral rather than to chase the mission daily.

Does applying earlier actually make the decision faster?+

It often does, though not because the officer works faster. Applying in April rather than July puts your file outside the peak-season backlog at the Dhaka centres, and it leaves room for a document request without losing the intake.
