The thing to understand before you walk in
An application centre is not an embassy. For most of the nine countries the Dhaka centre is run by an outsourcing company on the mission's behalf, and the people you meet are administrators, not decision-makers.
That single fact explains most of what happens in the room. They will check your papers against a printed checklist with real care, because that is their job. They will not read your statement of purpose, form a view about your finances or tell you how it looks, because that is not their job and they are not permitted to do it.
Nothing said at the counter is a decision. Not the encouraging remark, not the discouraging one.
The sequence
| Stage | What happens | Roughly |
|---|---|---|
| Security at the door | Bag and phone rules applied; large bags often refused | 5 to 15 minutes |
| Token and waiting | You are given a number and wait to be called | 10 to 45 minutes |
| Document counter | A clerk checks every item against the checklist and takes the file | 10 to 20 minutes |
| Fees | Visa fee and service charge, in the accepted form | 5 minutes |
| Biometrics booth | Ten fingerprints and a live photograph, sometimes a signature | 5 to 10 minutes |
| Passport handover and receipt | Passport retained, receipt issued with a reference number | 5 minutes |
The whole thing is typically 30 to 90 minutes. Almost all of it is waiting, and the biometric capture itself is the shortest part.
The fingerprints
Ten fingers, normally captured in three presses: four fingers of the right hand, four of the left, then both thumbs. It is a flat scan, not ink, and it takes seconds when it works.
When it does not work, it is usually one of these, and none of them is a problem with your application:
- Mehendi or henna on the hands. A genuine and common cause of failed scans. If you have an appointment, do not have henna applied in the days before it.
- Dry or worn fingertips, from manual work, cleaning chemicals or simply cold hands. Staff will ask you to press again, sometimes with hand cream.
- Cuts, bandages or a recent injury. Tell them; there is a procedure for it.
- Wet or sweaty hands. Wipe them before the booth.
Children under a certain age are exempt from fingerprinting in most systems, and the age varies by country and visa type. If a child is on the file, ask the centre in advance rather than assuming.
The photograph
Most centres now take a live photograph in the booth in addition to the printed photographs in your file. Both still matter, because the printed ones travel with the paper file and get rejected on their own merits. Read why visa photographs get rejected before you visit a studio.
Practical points for the booth: neutral expression, mouth closed, hair off the face, glasses usually removed, and a head covering is fine provided the face is fully visible from chin to forehead.
What the staff can and cannot do
They can: tell you a listed document is missing, tell you a form is unsigned, tell you the fee amount, give you a tracking reference, and explain the collection process.
They cannot: decide your visa, assess your finances, advise you on your statement of purpose, tell you your chances, expedite anything, or tell you when the decision will come. When they say "usually three to four weeks", that is a general observation and not a commitment — see what to do when your visa is delayed.
⚠️ Do not argue at the counter. If a document is refused as missing, ask what exactly is required, note it precisely and rebook. Arguing costs your appointment slot and changes nothing.
Before the appointment
- 1Read the checklist on the mission's or centre's own page the night before, item by item, with your file in front of you.
- 2Bring originals and one photocopy set of everything, plus spare photographs.
- 3Take the fee in the exact accepted form. Card is not always accepted and torn notes are sometimes refused.
- 4Arrive early but not excessively early; many centres will not admit you long before your slot.
- 5Expect to go in alone. Family generally wait outside, so plan who is coming and where they will sit.
The full bag list is in what to carry to your visa appointment, and the Dhaka-specific booking process is in the VFS Dhaka guide.
After you leave
Keep the receipt. It carries the reference number you will need for tracking and for any enquiry, and it is the only proof that your passport is with the mission. Photograph it as well as keeping the paper.
Then stop refreshing the tracker. It updates when something changes, and watching it does not make anything change.

Common questions
How long does a biometrics appointment take?+
Typically 30 to 90 minutes in total, most of it waiting for your token to be called. The document check takes 10 to 20 minutes and the biometric capture itself takes about five. Plan for a half day rather than an hour, since centres run behind at peak season.
Can the staff at the application centre tell me if my file is good?+
No, and they are not permitted to try. They check your documents against a printed checklist and forward the file. They cannot assess your finances, judge your chances or predict a decision date, so treat any comment at the counter, positive or negative, as conversation rather than information.
Why do fingerprints sometimes fail to scan?+
Most often because of henna on the hands, dry or worn fingertips, cuts and bandages, or wet hands. Staff simply retry, usually successfully. It says nothing about your application, but you can avoid the delay by not having henna applied in the days before the appointment.
Can someone come into the appointment with me?+
Usually not. Most centres admit only the applicant, with limited exceptions for minors and for applicants who need assistance. Assume you will go in alone, and plan where anyone accompanying you will wait, since seating outside is often limited.
