Writing a cover letter for an Italian student visa: one page that makes the file readable

What it is, and the two things it is not

A visa cover letter is the note that sits on top of your file and explains what the officer is holding. That is all. It is not a personal statement, and it is not the study plan.

A three-page emotional letter where a one-page summary belongs makes the file harder to read, which is the opposite of the intended effect.

An honest caveat: a covering letter is not usually listed as a separate mandatory item on a checklist. It is a courtesy that helps, and it never substitutes for a document that is required.

The structure, paragraph by paragraph

Address block. To the Visa Section, Embassy of Italy, Dhaka. Your full name exactly as in the passport, passport number, date, and your contact details.

Paragraph one: what you are asking for. One sentence. The visa category, the programme, the institution, and the start date. For example: an application for a national long-stay study visa to take a master's degree in a named subject at a named university, beginning in a named month.

Paragraph two: the pre-enrolment. State that pre-enrolment was completed on Universitaly and give the reference. This is the sentence that tells an officer the file is on the correct track before they open anything.

Paragraph three: your background, in three lines. Last qualification, institution, year, and any relevant work. No adjectives. This paragraph exists to connect your certificates to the programme, nothing more.

Paragraph four: the money, precisely. Who is paying, their relationship to you, which account the funds sit in, the amount, and the tuition position — paid, partly paid, or waived under an income assessment. Every figure here must appear in the file. This is the paragraph officers actually read closely; treat it the way proof of funds describes.

Paragraph five: accommodation and insurance. What you have arranged and for how long. If accommodation is temporary while you wait for a university place, say that plainly rather than implying a lease you do not hold.

Paragraph six: after the programme. What you intend to do when it ends. Keep it specific and modest. An officer is assessing whether your plan is coherent, and a sentence about a named sector back home reads better than a paragraph of ambition.

Closing. A single line offering to provide anything further, then your signature — the same signature as in your passport.

Rules that keep it useful

  • One page. If it runs to two, you are writing a study plan by accident.
  • Plain formatting. No colour, no logo, no photograph, no decorative font.
  • No claim without a document. If the letter mentions a scholarship, the award letter is in the file. If it mentions a sponsor's business, the papers are there.
  • No emotion as evidence. "It has been my lifelong dream" adds nothing an officer can act on, and it takes space from something that could.
  • Names exactly as elsewhere. The university's legal name, your name as printed in the passport, the sponsor's name as it appears on the bank documents.
  • Date it and sign it. An undated letter looks recycled.

That is the whole letter, and it fits comfortably on one page in an ordinary typeface at an ordinary size. If yours does not, the funding paragraph has probably grown into an essay, or a document's contents have been retyped into the letter instead of being left in the document.

The mistake to avoid completely

Do not use a letter to explain away a document you have not got. A sentence that begins "the bank statement could not be arranged in time, however" tells the officer exactly what is missing and confirms the file is incomplete. Fix the document, then write the letter.

The honest summary

A good cover letter changes nothing about your eligibility and quite a lot about how quickly your file is understood. Write one page, name every number, claim nothing the file does not prove, and let the documents do the rest.
